Plan your event day

Set your normal setup and breakdown times once, override them on the shows that need it, and see your whole day — leave, arrive, set up, sell, pack down — on the calendar.

  1. 1Go to Settings → Event day and set your usual setup and breakdown lengths. These are in minutes, so an hour and a half of setup is 90.
  2. 2Every event follows those defaults automatically. Change them later and your upcoming events follow the new value — events that have already happened keep the day they actually had, so your past numbers never move under you.
  3. 3On an event, open the "Event day timeline" section. Enter the event start and end time as usual.
  4. 4Override setup or breakdown for a show that needs something different — type over the value, or clear the field to go back to your default.
  5. 5If the organizer gives you a load-in time, put it in Arrival / load-in. Leave it blank and you simply arrive when your setup starts.
  6. 6Travel time fills itself in from your mileage when FairKeep can work out the route from your home address. Type over it if you tow a trailer, take the scenic route, or know the traffic.
  7. 7The timeline builds as you type: leave home, arrive, set up, event, break down, home.
  8. 8On the Calendar, day and week view now show the whole commitment — arrival through breakdown — with the actual show hours solid inside it. Click any event to see the full timeline.
  9. 9If you subscribe to your FairKeep calendar in Google or Apple Calendar, the timeline appears in the event notes and a reminder is set for when you need to leave.
